Internal vs External
Consider different messages for internal and external senders. Colleagues may need to know you're away and who to contact for urgent matters. External contacts (clients, partners) may need a more formal message with a backup contact and return date.
Keep It Brief
State that you're away, when you'll return, and who to contact for urgent matters. Avoid oversharing—no need to mention vacation destination or personal details. Short messages are more professional and easier to read.
Alternative Contact
Provide a colleague's name and email for urgent issues. Ensure they're aware and willing to handle inquiries. For external contacts, use a generic address (e.g., info@company.com) if you prefer not to expose individual emails.
Tone
Professional and neutral. Avoid overly casual language ("I'm off to the beach!") or humor that might not translate. A simple "I am currently out of the office and will respond upon my return" works well.
Return Date
Include your return date so senders know when to expect a response. If your plans change, update the message. Automated tools can sync OOO status with your calendar to reduce manual updates.
Security
Don't advertise that you're away for extended periods—it can be a security risk. "Out of the office" is sufficient; avoid "on vacation for two weeks in Hawaii."
